How to apply!

Step by step guide for Online Application.

> Online Application
An online application should take between 15 and 30 minutes if you have all your details and documentation ready.

> Who can apply online?
Both domestic and international students can submit an online application to us to study full-time and on-campus in an undergraduate course or postgraduate coursework program.

Go to Undergraduate course options or Postgraduate course options to find a course that’s right for you. Do remember to check all the entry requirements and prerequisites for the course that you intend to apply for.

The following documents must be submitted in order to complete the application.

 

a) Required items for Malaysian applicants:

  • 1 certified true copy of Identity Card A4 size, front and back on 1 page)
  • 1 set certified true copy of certificate of award and academic transcripts (If academic records in language other than English, it must be accompanied with approved translation)
  • 1 set certified true copies of TOEFL, IELTS or intensive English programme certificate (if any)
  • 1 copy Curriculum Vitae
  • 2 copies of award letters for scholarship / sponsorship (if any)

 

b) Required items for international applicants applying for full time programmes:

  • Four (4) Certified true copy of Passport (A4 size, all pages including blank pages) – minimum 18 months validity period
  • Eight (8) passport size photograph (3.5cm x 5.0cm) with light blue background and name written on reverse.
  • Certified true copy of academic certificates and transcripts (if academic records in language other than English, it must be accompanied with approved translation).
  • Certification letter on completion of studies from previous institutions, if applicant is still waiting for final results.
  • Certified copy of TOEFL, IELTS or Intensive English programme certificate (if any)
  • 1 copy Curriculum Vitae
  • Institution leaving certificate / testimonial, release letter, results, academic transcript and attendance report / letter (applicant transferring from another University / College in Malaysia holding a Student Pass or Dependent Pass)
  • Medical Report

 

The international applicant is advised to submit these documents:

  • If not in Malaysia – 2 months before the new semester begins
  • If in Malaysia – 1 month before the new semester begins

 

For transfer students, please attach approved transfer letter from the previous institution.

Fill up and submit the form. Supporting documents need to be submitted immediately after the online application.

Apllication Tips

To make the application process as easy as possible, we have developed some tips which will help you successfully submit your application.

  • Allow for approximately 20 minutes to complete your application.
  • You will need the following web browsers to use the form:
  • You will be required to provide supporting documentation to complete the application. Please note that original or certified hard copies of transcripts are required before an unconditional offer can be made. This documentation may include:
    • Academic transcripts
    • Certificates of completion / Testamur
    • A key / guide to a grading system / grading scale
    • Office English language translations of documents not in English
    • English Language Results (please see English Requirements for further details)
    • Passport
    • Resume / CV
    • Any other documents required for specific programs
    • To submit your application you will need to upload all the required documents and agree to the application declaration.
  • When submitting your documents, please ensure:
  • The documents are scanned to A4 size
  • Each document is scanned and uploaded individually
  • The document file is no larger than 10MB
  • The file name only contains letters, numbers or spaces
  • You will be sent an email from Asia e University to confirm your application was successfully submitted. If you are having troubles with your application, please call the Learner Service Centre at +603-2785000
  • The aplication process will take 10 to 14 working days from the time after all supporting documents are submitted.

You need to key in your Identification card number (Malaysian Applicant) or passport (International applicant) to login to the system.

AeU will assess your application and if successful, you will be sent an offer letter via email you have provided during online registration.

The offer letter also can be downloaded at Aplication Status Page.

Apply for Student Pass   If you have accepted to study, you must obtain a “Student Visa” from AeU for the duration of study in Malaysia. Students & Alumni Affairs (SAA) officer will help you to apply for Student pass. All the application will be submitted to Educational Malaysia Global Service (EMGS) by SAA.   In order to apply for student pass you need to submit the following documents:

  • Original or copy of Offer Letter
  • 1 signed copy of IMM 14 Form (SAA will provide th IMM 14 Form)
  • 1 copy of ALL pages of passport (all pages, in A4 size paper)
  • A passport that is valid at least 12 months from the expected date of entry.
  • 6 copies of your recent passport sized (3.5cm × 5 cm) photographs with BLUE background
  • Certified copies of your academic qualifications with certified translated copy in English (if applicable)
  • A certified copy of evidence of your English language proficiency (if applicable)
  • Certified copies of result/mark sheet
  • Pre-arrival Medical Examination Report from student’s home country. SAA provide the EMGS order number for medical forms.
  • Payment in form of Bank draft or cheque for the following:
    • EMGS Visa Processing Fee
    • Medical Screening
    • Medical Insurance Premium
    • I-Kad Fee
    • Immigration Fee
    • Student Sticker
  • Please make cheques or bank drafts payable to EMGS ESCROW ACCOUNT 1.

(Please note the charges above is subject to be changed based on Immigration requirement, therefore wait for SAA confirmation on the TOTAL amount that is required to pay to EMGS to process the Student Pass)   Visa Approval Letter (VAL)   Visa Approval Letter will be courier and emailed to the successful student or to the Learning Centre for (PNJ) students. Please note that the VAL is valid for only three (3) months. Upon receiving your entry visa, you are to inform the University seven (7) working days prior to departe from your country with the following information:

  • Date of Arrival
  • Time of Arrival
  • Flight name and number
  • Airport name i.e Kuala Lumpur International Airport (KLIA) or KLIA 2

Bring along your original VAL. Representatives of the University will meet you at the airport and assist you in processing your entry visa at the Immigration checkpoint. Please submit your passport to the International Student Unit Officer from the Student & Alumni Affairs Department to obtain your student visa sticker as soon as possible, preferably after the medical checkup is successful.   General Guidelines for Applying Student Pass

  • When you submit your application for student visa, your passport validity must be more than 1 year. If your validity is below one year, we are unable to process your student visa.
  • If you do not submit the following documents mentioned above, we will not process your student visa. You may not be able to continue your studies in at AeU Malaysia University.
  • It is advisable for you to email and courier the said documents 3 months before registration day. This is to facilitate the student faster in processing the visa and to avoid delays in obtaining your student visa endorsement.
  • If you are changing from another institution to AeU while studying in Malaysia, please cancel your student visa with the previous institute. Failure to comply will result in failure to change your student visa to this university. (If applicable)
  • The university will not accept passport of students with expired social visa, special pass or student visa from previous University or college. The university will not be responsible for your overstay in this country although you may have registered with us. Student with expired visa will be advised to approach the Malaysia Immigration Department to settle the overstay issue on their own accord. (If applicable)
  • Students are advised not to bring their spouse and children to Malaysia until the student visa is approved. If you do so, the university will not be responsible for their stay here. (Only applicable to Postgraduate students)
  • Strictly adhere to guidelines mentioned above.

Personal Bond Malaysian Immigration requires AeU to sign a Personal Bond on behalf of the candidate, binding the University for the said sum. In order to comply with this requirement, the University requires the candidate to lodge with the University the said sum for the purpose of the personal bond. The bond money will be returned to the candidate after completion or upon withdrawal of his / her programme of study, on condition that there is no violation of any provisions of the Immigration Ordinance 1959 (F.M. 12 of 1969 (and Immigration Regulations, 1963 (F.L.N 228 / 63). The Malaysian Immigration Authorities require at least 3 weeks to process the Student Pass. It is advisable for the applicant to submit all required documents immediately to avoid any delay in the application for the Student Pass.

Finally, you need to be on campus in Malaysia in time to attend the orientation. Welcome to Asia e University and we are happy that you are now our registered student!
